Job Description

The Office of the Chief Justice (OCJ) is inviting suitably qualified candidates to apply for 12 Judge’s Secretary positions at the Gauteng Division of the High Court in Pretoria and Johannesburg.

The positions offer a salary of R338 106 – R398 277 per annum (Level 07). Applicants need a Bachelor of Laws (LLB) or relevant equivalent qualification at NQF Level 8 with 480 credits, as recognised by SAQA, together with legal experience.

Duties and Responsibilities

The successful candidates will:

  • Manage the Judge’s diary, appointments and meetings.
  • Type and file judgments.
  • Ensure judgments handed down and signed draft orders are sent for scanning and uploading to Case-lines / Court Online and the Library.
  • Receive and screen visitors.
  • Attend to visitor queries.
  • Record incoming and outgoing documents.
  • Order and collect stationery for the Judge.
  • Collect Criminal Court files from the Registrar’s office before matters commence.
  • Maintain the register of reviews.
  • Return reviews to the Clerk.
  • Update the reserved judgment register/template.
  • Notify the Statistics Officer and Office of the Judge President when judgments have been handed down.
  • Ensure transcribed judgments reach Judges for approval and signature.
  • Prepare court rolls for Opposed Motion and Urgent Court.
  • Distribute court rolls to stakeholders.
  • Ensure Heads of Argument are available to the Judge.
  • Administer the correct oath or declaration in court when required.
  • Prepare the Judge’s bench book.
  • Ensure files are taken to court by Ushers before proceedings.
  • Ensure relevant stakeholders are present before court proceedings commence.
  • Call cases on record according to the court roll.
  • Handle, control and record Criminal Court exhibits professionally.
  • Coordinate travel and accommodation arrangements.
  • Process relevant documents for approval.
  • Ensure the Judge’s logbook is submitted to the Transport Officer on or before the 5th of every month.
  • Arrange vehicle maintenance and servicing.
  • Receive vehicle pre-authorisations.
  • Support the processing of S&T claims.
  • Ensure Cell phone and 3G data claims are submitted for processing.
  • Ensure updates to loose-leaf publications in the Judge’s library are attended to.

Performance Agreement

The successful candidates will be required to sign a performance agreement.
